Position Title: Executive Director

Terms: Salary $40,000–$50,000, commensurate with experience. Workload averages 30 hours per week; hours somewhat flexible. Benefits package. Initial 3-year contract, renewable. Annual assessment review.

Position Description:

The Society for Music Theory seeks a capable and committed professional with experience and vision to serve as its next Executive Director. The successful candidate will be a highly organized and effective manager who is able to work closely and effectively with many people and is comfortable in an academic environment. Must have excellent written and verbal communication skills; the agility to manage multiple workstreams reliably and with grace under pressure; and the ability to respond promptly, clearly, and courteously to queries from multiple constituencies. Must be ready to use a mix of skills, experience, and imagination to develop the position of Executive Director, making astute recommendations and taking on new responsibilities as appropriate to the needs of a growing society.

Primary Responsibilities

  • Plan and manage logistics for the annual scholarly conference, including site selection, accommodations, pianos, AV, and other vendors; exhibits and advertising; signing contracts and overseeing legal considerations; handling registration, production of the program and abstracts book, scheduling, and materials for the annual Board meeting.
  • Travel to the SMT Annual Meeting (usually around November 1) and a few other times a year.
  • Manage and sign contracts on behalf of the Society.
  • Maintain the Society’s official records, including all legal and financial documents; correspondence among members of the Executive Board, with committee chairs, and others; archives and institutional history; and other documents as requested.
  • Implement Executive Board policies and initiatives.
  • Research and advise (seeking professional guidance when appropriate) on the logistical, legal, financial, or other implications of various paths of action under consideration by the Society.
  • Advise, support, and work closely with, the President, other officers (Vice-President, Secretary, and Treasurer) and the six at-large elected members of the SMT Executive Board. Serve as a permanent non-voting member of the Executive Board.
  • Support and work closely with the chairs of SMT committees, as appropriate to the mission and tasks of each. Serve as ex officio member of several committees, as assigned.
  • Manage membership services: maintain membership databases; process memberships; respond to inquiries; prepare member demographics and statistics.
  • Maintain donor databases; process and acknowledge donations; coordinate development mailings.

Essential Qualifications: A Bachelors degree and demonstrated, successful administrative experience. Desirable Experience: Management of an academic society or other nonprofit organization is highly desirable, as is experience in development, grant-writing, editing, webpage design, or accounting.
