Please join us this fall as we gather for our 44th Annual Meeting in Jacksonville, FL. Our annual meeting attracts more than 650 theorists from colleges, universities, and conservatories from around the world.
About the Meeting
The Society for Music Theory, with 1,200 members, brings together academics, graduate students, and other professionals specializing in musicology and music theory in higher education. It will be the forty-fourth Annual Meeting and provides an opportunity for attendees to network, share knowledge, and explore new directions in music research and practice. More than 150 presentations are scheduled, along with workshops small meetings, receptions, and other events.
By participating in this year’s meeting, you will reach a large, specialized audience of customers for your products and services. We are expecting more than 400 registrants of leading specialists, including heads of research institutes, academic deans and department chairs, private consultants, and graduate students.

The Society provides several opportunities for organizations to sponsor events and activities at our Annual Meeting. Sponsors receive one complimentary registration, two drink vouchers to the Opening Reception, special event signage (if applicable), company logo on Annual Meeting signage, one complimentary exhibit table (for sponsorships $500+), and a complimentary program book advertisement. Exhibits will be located on the same floor as the conference session rooms. Complimentary refreshment breaks will be provided in the exhibit area. Tables are approximately 6’ X 30” and come with two chairs. All exhibitors receive a listing in the program book, conference app and website, social media, and one complimentary registration. Additional registrations are available for $75.
Reservations and Deadlines for Exhibits
The Reservation Form and payment or purchase order must be received by September 3, 2021. Cancellations on or before September 30th will be fully refunded (a $25 handling charge will be assessed).
Internet connections and electrical service can be obtained directly from the hotel. Contact information and shipping instructions will be provided upon receipt of completed reservation form.

Exhibitors Release of Liability
Exhibitor shall be fully responsible to pay for any and all damages to property owned by Hyatt Regency Jacksonville Riverfront, Society for Music Theory, or their owners or managers, which results from any act or omission of Exhibitor. Exhibitor agrees to defend, indemnify, and hold harmless, Hyatt Regency Jacksonville Riverfront, Society for Music Theory, and their respective owners, managers, officers or directors, agents, employees, subsidiaries, and affiliates, from any damages or charges resulting from Exhibitor’s use of the property. Exhibitor’s liability shall include, without limitation, all losses, costs, damages, or expenses arising from or out of or by reason of any accident or bodily injury or other occurrences to any person or persons, including the Exhibitor, its agents, employees, and business invitees which arise from or out of the Exhibitor’s occupancy and use of the exhibition premises, Hotel, or any part thereof.
- Conference Program Book Advertising
The printed Program Book contains the final program and is distributed to all meeting participants. Program Book advertisers will also receive recognition on the conference app, website, and on social media.
This year, our program book will be 8.5 x 11” and ads are being offered in full, half, and quarter sizes, as well as in full color and black and white.

The reservation form and ad copy must be received by September 3, 2021.

- Conference Display Materials
SMT is looking to reduce the amount of paper it produces. With that goal in mind, we will not include promotional materials in the conference tote bag. Instead, promotional materials will be prominently displayed at tables in the Exhibit Hall, where they may be viewed and taken by those interested. Conference staff will monitor display tables to ensure orderly display throughout the meeting. Materials left over at the end of the conference will be recycled, unless you request their return (shipping charges apply).

Reservations and Deadlines for Conference Display Materials
Reservation forms with payment or purchase order received on or before September 3rd will receive a complimentary listing in the Program Book. Final deadline to submit the Conference Display Materials Reservation Form and payment or purchase order is October 29th.

The price is $50 per item.
- Common Table
A common table will be available for the display of individual books, periodicals, and other resource materials. Please contact Jennifer Diaz if you are interested in participating in the common table.
Exhibitors are responsible for their own hotel reservations. SMT has reserved a block of rooms at the Hyatt Regency Jacksonville Riverfront at a special rate of $169.00 per night (single/double occupancy) plus tax. Reservation deadline is October 12, 2021.
